Forms in Tarteeb

One link that collects every request from potential clients.

Create a form with your agency's name and logo, and share its link on your website, social accounts and campaigns. Every response reaches your workspace instantly, for your team to review and turn into a lead or a sales opportunity.

  • In Arabic and English
  • Link and QR code
  • All requests in one place

From one link to a sales opportunity

How do forms work?

Every request goes through four stages, from designing the form to your team's decision. No client or opportunity is created until one of you decides to.

  1. Design the form

Choose the fields, add up to three questions of your own, then set your agency's name, logo and color, in Arabic, English or both.

  2. Publish it and share the link

Preview it on mobile and desktop, then publish. You get a link to copy and a QR code to download for your website, social accounts and campaigns.

  3. Responses arrive right away

Each response is saved in your workspace, your team gets a notification, and it stays in follow-ups until one of you decides what to do with it.

  4. Turn it into a client or an opportunity

Your team reviews the details, source and answers, then converts the response to a lead, links it to an existing client, or opens a sales opportunity from it.

Illustration: the same form link on Snapchat, Instagram, X and LinkedIn, with a different source tag (utm_source) for each channel, so every response reaches “Responses” with its channel. Tarteeb isn't connected to these platforms: you put the link on your accounts yourself. The logos are trademarks of their owners.

Why does your agency need a form for incoming requests?

At most agencies, requests arrive scattered: an Instagram DM, a WhatsApp chat on a team member's phone, an email in a personal inbox. Some get a late reply, some get lost among the messages, and nobody knows which campaign brought them in.

A Tarteeb form gathers these requests in one place and in one format: name, contact details, the service needed and the answers to your questions. Every response reaches your workspace instantly and stays in front of your team in Follow-ups until someone decides what to do with it, so you reply faster and no request is left hanging in a chat.

  • Responses from all your forms on one page
  • Organized details: name, contact and service
  • A notification in Tarteeb for every new response
  • Stays in Follow-ups until someone decides

How do you build a form? Four steps before publishing

You create a form from “Forms” in the Sales section, and setup takes four steps: Content, Design, After submission and Publish. In Content you write the title and description, and choose which of six standard fields appear and which are required: name, email, phone number, company, service and message. Name is always required, and visitors only need to leave an email or a phone number.

You set the service options you offer, or leave them empty so visitors type the service themselves. And you add up to three questions of your own: short answer, long answer or a choice from a list, such as expected budget, start date or how the visitor heard about your agency.

In Design you add your agency's name and the logo saved in your invoice branding, and choose the form's color and language: Arabic, English or both, with visitors switching between them on the form itself. In After submission you write the thank-you message visitors see, plus a link to your agency's privacy policy if you have one. Then you preview the form on mobile and desktop before publishing it, and any change after publishing stays a draft until you publish the update.

  • Six standard fields you can show or hide
  • Up to three questions of your own
  • Your agency's logo and three colors to choose from
  • Mobile and desktop preview before publishing

Share the link on your channels, and see which ones bring in clients

When you publish, the form gets its own link you can copy in one click, and a QR code you can download as an image. Put the link on a “Request a quote” button on your website, in your social media profiles or in your WhatsApp replies, and print the code on anything that reaches your clients offline.

If you add the standard campaign tags (UTM) to the link, each response shows the channel and campaign it came from, along with the referring site if the visitor's browser sends it. The forms list shows each form's number of responses, how many were qualified and how many opportunities came from it, so you know which channel brings real clients, not just messages. Whenever you like, you can stop accepting responses or archive the form, and earlier responses stay saved.

  • A dedicated link and QR code for each form
  • Channel and campaign from the link's UTM tags
  • For each form: responses, how many qualified, and opportunities
  • Stop accepting responses or archive anytime

Every response reaches your team just as the visitor wrote it

When a visitor submits the form, the response is saved in your workspace, and they see the thank-you message only after it's actually saved. Workspace Admins and Members get a “New form response” notification, and the response appears in the Responses tab, among the leads on the Clients page, on the Opportunities page and in Follow-ups.

Each response opens in three parts: the original details as the visitor wrote them, the source, and the answers. You can search responses by name, email or phone, and filter them by form or status. The form protects itself from automated and repeated submissions, and pressing “Submit” twice doesn't create two responses.

  • A notification to Admins and Members for every response
  • Shows up in Responses, Clients, Opportunities and Follow-ups
  • Search by name, email or phone
  • Protection from automated and repeated submissions

From response to lead or opportunity, when your team decides

Tarteeb doesn't create a client or an opportunity just because a response arrived. Someone on your team reviews it, then chooses: convert it to a lead, link it to an existing client, or create a sales opportunity with a new lead or an existing client. If it isn't a serious request, they mark it as duplicate, spam or rejected, and it can be reopened later.

Before linking, Tarteeb shows you the clients that match the response's email or phone, and it never merges anything on its own. The original answers stay linked to the client's record after qualifying, and every action is logged in the response's history with who did it and when. And because a response counts toward your client limit only once your team creates a client from it, spam doesn't use up your plan's limits.

  • Convert to a lead or link to an existing client
  • An opportunity that starts from the request itself
  • Matching clients suggested by email or phone
  • A log of every action: who did it and when

Ways to use forms at your agency

A form works the same way everywhere, but where you put it depends on the channels your clients come from. Create one form per channel or service to compare them in the forms list, or keep a single form and add a different tag to its link for each channel. Here are common examples at agencies:

  • Your agency's website: a “Request a quote” button that opens the form directly
  • Social accounts: a link on Snapchat, Instagram, X and LinkedIn
  • Paid ads: a different campaign tag for each ad
  • Exhibitions and events: a QR code on your booth and printed materials
  • WhatsApp and email: one link instead of scattered questions in the chat
  • A form per service: brand identity, account management or website development
  • Clients who prefer English: a bilingual form on the same link
  • Your current clients: a request for a new service that you link to their record and open an opportunity for

What are you buying?

What do you get with forms?

Forms are part of your Tarteeb workspace subscription, not a separate service you pay for. They're available on paid plans and during the trial. How many forms can be active at once depends on the plan, and you'll see it when you choose your subscription inside the workspace. If you move to a plan that doesn't include forms, your forms and their earlier responses stay saved for review, and new responses stop coming in.

FAQ

Questions about “Forms”

Don't see your question? Browse all questions.

Does a visitor need an account to fill in the form?

No. They open the link and fill in the form in their phone or computer browser, with no sign-up or install.

Is a client or opportunity created automatically when a response arrives?

No. The response is saved and waits for your team to review it. Then you choose to convert it to a lead, link it to an existing client or create an opportunity. Until then, it doesn't count toward your client limit.

Can I embed the form in my website's pages?

You share the form through its own link or QR code; it isn't embedded in your website's pages. Put the link on a button on your site, and the form opens on its own page with your agency's name and logo, and a small line at the bottom: “Form powered by Tarteeb”.

Who on my team sees responses?

Workspace Admins and Members review and qualify responses, and get a notification for each new one. Creating, publishing and pausing forms is for Admins only, and anyone with the “Viewer” role can't see responses.

Does the visitor get a confirmation email after submitting?

Tarteeb doesn't email the visitor. They see the thank-you message you wrote as soon as their response is saved, and any contact after that is up to your team.

Can visitors attach files?

Not at the moment. Visitors type their details and answers or pick from lists, and you can add a question asking for a link to their files or work.

Plenty of ideas. Keep your work in order.
