A digital team inside Tarteeb

Tarteeb agents: a digital team for every job.

Thirteen agents, each with one clear job in your agency's workspace. They read only what their job needs, then suggest a step or take it, and you decide where they stop.

  • Every step under the agent's name
  • Undo within 14 days
  • They don't message your clients

Tarteeb agents

A digital team
that organizes the work with you.

13 agents, each with one job: sorting new tasks, guarding deadlines, spotting project risks, drafting status reports and preparing payment reminders. You work with them the way you work with your colleagues.

  • Daily operations
  • Projects
  • Clients and sales
  • Collection
  • Team
  • For each agent, you choose: it suggests and you approve, or it takes safe steps on its own.
  • Closing tasks or moving them away from their owners always waits for your approval.
  • Every step is logged under the agent's name, and admins can undo its changes within 14 days.
  • They don't message your clients or change your financial records.

Agent availability and daily run limits depend on your plan.

  • Agency Day Coordinator, Operations coordinator: Reviews open tasks and due dates, and reorders priorities so the team's day is clear.
  • Task Sorter, New work triage: Picks up every new task without an assignee or due date, and suggests an assignee, priority and due date for it.
  • Deadline Guardian, Due date tracking: Spots what's due today or overdue, and sends each member one tidy alert instead of a flood of notifications.
  • Stale Work Cleaner, List cleanup: Finds tasks that haven't moved in weeks, then asks their owners about them or suggests closing them.
  • Project Kickoff Planner, Kickoff planning: Turns the project description and your instructions into clear starting tasks, ready to review and assign.
  • Project Radar, Risk monitoring: Reads each active project's progress against its due date, and writes its manager an early risk assessment.
  • Status Report Writer, Client reports: Every week, drafts a status report for each active project, ready for the manager to review and send to the client.
  • Client Follow-up Assistant, Opportunity follow-up: Reviews open opportunities and prepares follow-up tasks with message drafts suited to each client.
  • Relationship Keeper, Client care: Notices clients who've been quiet for a while, and prepares a contact task and a check-in message for the account manager.
  • Invoice Collector, Collection: Sorts overdue and soon-due invoices, and prepares a task and a polite reminder for each one.
  • Workload Balancer, Sharing the work: Sees who's swamped and who has room, and suggests moving specific tasks between them, with your approval.
  • Morning Briefer, Start of day: Every workday morning, sends each member a personal briefing: what's due today, what's overdue, and where to start.
  • Weekly Digest Writer, Management report: Every Sunday, writes management a summary of the week: what got done, what slipped, risks, collections and sales.

What do Tarteeb's AI agents do?

Agents are digital colleagues that work inside Tarteeb itself, not outside it. Each agent has a name, a picture and one job: one sorts new tasks that have no assignee or due date, another watches upcoming and overdue deadlines, and a third keeps track of sent invoices that haven't been paid. An agent reads only what its job needs, then suggests specific steps inside the system, such as creating a task, changing a priority or writing a note on a project.

The difference from regular automation: automation rules are fixed and do the same thing every time, while agents handle work that needs judgment. Who's the best fit for this task? Which project is really falling behind its dates? Which client haven't we heard from in a while?

  • They work on your tasks, projects and clients inside Tarteeb
  • Each agent reads only the data its job needs
  • An agent's alert reaches only the person it's about

Agents for daily operations and team task management

Four agents put the agency's day in order before it starts. Agency Day Coordinator reads open tasks, active projects and each person's workload, then sets the priorities. Task Sorter picks up new tasks with missing details and suggests an assignee, due date and priority based on the team's roles and workloads. Deadline Guardian sends each person a single briefing of what's due today and tomorrow and what's overdue. And Stale Work Cleaner reviews, every week, the tasks nobody has touched in three weeks.

  • Agency Day Coordinator: sets the day's priorities
  • Task Sorter: assignee, due date and priority for new tasks
  • Deadline Guardian: one briefing per person on what's due
  • Stale Work Cleaner: closes a task only with approval, and leaves alone any task due within two weeks

Agents for projects, clients and collections

For projects, Project Kickoff Planner reads the project description and suggests starting tasks, Project Radar compares each active project's progress with its dates and warns early, and Status Report Writer prepares a client-ready draft status report each week as a note on the project.

For clients, Client Follow-up Assistant turns open opportunities into follow-up tasks with a draft message, and Relationship Keeper notices active clients who've been quiet for 30 days. For collections, Invoice Collector lines up invoices due within three days and overdue ones, and prepares a reminder task in a tone that fits how late the payment is, while contact with the client stays in your hands.

  • Draft messages are saved inside the task and never sent
  • Invoice Collector is visible to admins only
  • Reports are written as a note on the project for you to review before sharing

Team agents: balanced workloads and a clear start to the day

Workload Balancer reviews each week what everyone has open, overdue and due this week, and suggests moving tasks from someone overloaded to someone else; every move waits for an admin's approval. On workdays, Morning Briefer starts each member's day with an alert about their due, overdue and new tasks. And Weekly Digest Writer sends admins the week's numbers every Sunday, so you know where the agency stands and what's next.

  • Workload Balancer and Weekly Digest Writer are for admins only
  • Morning Briefer tells each person about their own tasks
  • Moving a task away from its owner always needs approval

You're in control: approval, log and undo

Each agent has two modes, chosen by the workspace admin: “Suggests, and I approve”, where every step waits for your approval, or “Takes safe steps on its own”. Even in the second mode, closing a task, taking it from its owner or changing a due date someone else set always needs approval. A manual “Preview now” run is only a preview; nothing is applied.

Every step is recorded in the activity log under the agent's name, and an admin can undo it within 14 days if nothing has changed since. An admin can also reject a step so the agent won't suggest it again unless the facts change. Agents don't contact clients, don't send email, don't touch financial records, and don't see email addresses, phone numbers or private notes.

  • Set each agent's schedule, time and workdays
  • Optional instructions you write for the agent
  • No due dates on Fridays or Saturdays
  • A sent alert can't be taken back

FAQ

Questions about “Tarteeb agents”

Don't see your question? Browse all questions.

Do agents send messages or emails to my clients?

No. Agents don't contact clients or send email. Anything they write for a client is a draft inside a task or a note, and you decide whether to send it.

Can an agent change invoices or payments?

No. Agents don't touch financial records. Invoice Collector reads unpaid invoices, creates reminder tasks and alerts admins only.

What if an agent takes a step I don't want?

Every step is logged under the agent's name, and an admin can undo it within 14 days if nothing has changed since. Only a sent alert can't be taken back.

Who on the team sees the agents and their work?

All members see ten of the agents and what they've applied. Invoice Collector, Workload Balancer and Weekly Digest Writer, and steps awaiting approval, are visible to admins only.

How many times a day does an agent run?

Each agent runs on a daily, weekly or continuous schedule, with a daily run limit that depends on your plan. If an agent finds no new work, it doesn't run.

Plenty of ideas. Keep your work in order.
